Sandy Hook Promise (SHP) envisions a future where all children are free from school shootings and other acts of violence. As a national nonprofit organization, SHP’s mission is to educate and empower youth and adults to prevent violence in schools, homes, and communities. Creators of the lifesaving, evidence informed Know the Signs prevention programs, SHP teaches the warning signs of someone who may be in crisis, socially isolated, or at-risk of hurting themselves or others and how to get help. SHP also advances school safety, youth mental health, and responsible gun ownership at the state and federal levels through nonpartisan policy and partnerships.     
 
SHP is led by several family members whose loved ones were killed in the tragic mass shooting at Sandy Hook Elementary School on December 14, 2012.

Travel Requirements 

This role will require minimal travel and will be on an as-needed basis. Team members are expected to make thoughtful travel decisions that balance cost, convenience, and sustainability, including the use of public transportation or alternative options when appropriate.   

About the Role 

The Executive Assistant will provide administrative and operational support for Vice President of Innovation, Research, Evaluation & Quality Improvement; the Vice President of Program Implementation; and the Vice President of Business Development, including scheduling meetings for both internal and external stakeholders, processing expense reports, booking travel, and briefing prior to meetings as needed. We estimate that this individual’s time will be divided 34%/33%/33% between the three Vice Presidents.  

Job Responsibilities   

  • Coordinate, schedule, and manage invites for events and meetings with multiple stakeholders, both internal and external. 
  • Book travel as needed. 
  • Provide action items or follow-ups after meetings as needed. 
  • Provide briefings as needed before external meetings. 
  • Provide support in developing decks, agendas, and other documents in advance of meetings. 
  • Schedule calendar reminders. 
  • Complete expense reports. 
  • Draft thank you notes after external meetings. 
  • Scribe minutes at meetings. 
  • Data tracking and management. 
  • Commitment to Sandy Hook Promise’s mission and goals. 
  • Performs additional responsibilities to support organizational priorities as needed. 

Desired Skills and Experience 

  • 3+ years of experience in administrative duties, preferably working with c-suite individuals or in fast-paced environments with multiple stakeholders.  
  • Technology literate: proficiently using Microsoft for emails and scheduling, as well as an ability to learn new systems quickly.  
  • Exceptional attention to detail and time management skills, with ability to quickly and logically set priorities, meet deadlines, and anticipate obstacles.   
  • Strong verbal and written communication skills, including an ability to communicate clearly and effectively with both internal and external contacts.  
  • Strong collaboration skills and ability to work with others to find solutions.  
  • Strong judgment and decision-making skills with the ability to escalate concerns/challenges appropriately and proactively consider and offer alternative solutions.  
  • Able to work independently and as part of a team with a high degree of confidentiality, integrity, and discretion.   
  • Have a basic understanding of data literacy and willingness to use and refer to data. 
  • Demonstrated commitment to embedding equity-centered, inclusive, and culturally responsive practices that honor diverse identities and foster meaningful belonging.

Benefits and Salary Range  

The salary range for this position is $56,000 - $66,000. 
(SHP follows a strict internal rubric to guide salary placement and ensure equitable pay for both new hires and current staff. New hires should expect to come on at the start of the range, except in extenuating circumstances.)

Our organization operates within a distributed workforce, allowing for location flexibility across the country for most positions. We provide remote office support for all staff, which includes a laptop, home office reimbursement, monthly Wi-Fi reimbursement up to $40, and monthly cell phone reimbursement up to $50.
